Overview
This article outlines quick steps to resolve common printer problems encountered in wards, labs, and clinics — including printers that won’t print, error messages, or connectivity issues.
Issue 1: Printer Not Printing
Try the following in order:
- Check the power – Ensure the printer is turned on and connected to a working power source.
- Check paper and toner – Load paper and confirm toner is not empty.
- Restart the printer – Turn it off, wait 10 seconds, then turn it back on.
- Clear the print queue
- On your workstation, go to Control Panel > Devices and Printers
- Right-click on the printer and select See what’s printing
- Cancel all jobs and try printing again
Issue 2: Printer Is Offline or Not Detected
- Check the connection
- If using Wi-Fi: Make sure the printer is on the correct network
- If using USB: Reconnect the cable or try a different port
- Run the Printer Troubleshooter
- On your PC: Settings > Devices > Printers > Click printer > Troubleshoot
- Restart both printer and computer
- Sometimes a simple reboot resolves detection issues
